Manage welder qualifications (Workforce)

Workforce (/workforce) is where you see who’s on the project — welders and NDE technicians — and, for welders, their qualification and continuity status at a glance.

  • Anyone signed in with access to the project can open Workforce and read both rosters.
  • Adding or editing a welder needs Weld Associate access or higher. NDE technicians aren’t managed here — see Manage users & roles for where technician records are captured.

Four tiles summarize the roster — Welders, Qualified, Credential attention, and Continuity watch — above a table of Stencil, Name, Contractor, Credential, Continuity, and Qualified.

  • The Credential cell is a chip summarizing each welder’s qualifications (for example “2 quals · 1 expiring”) — select it, or the stencil, to open the qualification drawer.
  • The Continuity cell shows a per-welder continuity badge (see below).
  • Search welders… filters the table; New welder (Weld Associate+) opens the add form.
  1. Select New welder.
  2. Fill in Stencil, Contractor id, and Min/Max wall thickness (required), and First name, Last name, and Middle name if you have them (optional).
  3. Select Create welder.

The form captures identity only — stencil, name, contractor, and the welder’s qualified wall-thickness range. Qualifications themselves aren’t set here; they build up from qualifying welds recorded against the welder over time (see Welder qualifications settings for how that tracking works). Edit welder (Weld Associate+, from the drawer footer) opens the same identity fields for later changes.

Selecting a welder’s stencil or Credential chip opens their drawer:

  • Header — the stencil and a Qualified or Not qualified badge, once the qualification read resolves.
  • A banner, when it applies — either Assignment blocked (the welder isn’t qualified, so a new weld assignment will be refused at Complete Weld until a qualification is recorded) or Maintenance advisory (a qualification is approaching or has passed its continuity window — informational only, nothing is blocked).
  • Qualifications — one row per qualified process/procedure pair, with its wall-thickness range, a continuity badge, and an Evidence panel for attaching supporting documents.
  • Continuity — an overall badge, the soonest lapse, and a per-process breakdown.
  • Governance trail — the history behind the qualification’s current state (below).
  • Performance — remaining qualification welds and whether the welder is qualified on this project.
  • Lots — the welder’s progressive-examination lots, read-only, with a link to their full Welder progressive-examination lots page.
  • Footer actions: Edit, All welds by this stencil (opens the weld matrix filtered to their stencil), and Qualification statement (below).

The Governance trail section lists every recorded change to this welder’s qualification on this project, newest first. Each entry shows the transition (for example In force → Revoked), when it happened in UTC, who did it, and the written reason. A revocation recorded by an automated process rather than a person shows as System (no user).

The trail is permanent — entries can’t be edited or removed, by anyone, and it only ever shows this project’s history. A welder who has never had a qualification revoked shows “No governance actions on record”.

When a qualification has been revoked, the trail also shows an Exposure panel: how many welds that welder made on this project on or after the revocation took effect. A weld made before that moment was made under a valid qualification and is never counted.

Select View blast radius to open the list — each weld with its ISO, process, weld date, how many days past the revocation it was made, and its current status. Select a weld number to open its ISO.

If the exposure check can’t be read, the panel says so explicitly — that is not an all-clear. Retry before concluding that nothing was exposed.

From the blast-radius drawer, Exposure record (Excel) or CSV downloads the whole exposed set — not just the rows on screen. Each row carries the weld, ISO, project, welder, process, weld date, the date the revocation took effect, how many days past it the weld was made, and the weld’s status.

The written reason for the revocation is deliberately left out of the exported file. It stays in the drawer, where MaxTrax’s own access control applies; an exported spreadsheet can be forwarded anywhere.

Select Qualification statement in the drawer footer to queue an Excel workbook of that welder’s qualification and continuity history (welder, stencil, contractor, each qualified process or procedure, weld count, first/last weld date, days since last weld, and status — Current/Lapsed/Revoked). It’s queued, not immediate — you’ll see a toast confirming it’s queued, and the file arrives the same way other MaxTrax reports do; see Generate reports & printable labels.

A lighter, read-only roster — Technicians, With certifications, and Method coverage tiles, then a table of Stencil, Name, NDE contractor, and Certifications. Selecting a row opens a drawer showing the technician’s certifications (as recorded — scheme and level aren’t yet broken out into structured fields), their certification effective/expiry window, and an Evidence panel. A note in the drawer explains whether a technician’s result entry is gated on certification, which is governed by a project setting — see Testing types & checks.
